Managing Your Workspace Settings
Overview
What Is Workspace Settings?
Workspace Settings is where team members manage the core identity and configuration of their Helios workspace. It controls your workspace name, logo, team members, payment setup, and activity configuration. This is the central hub for all business-level settings.
Key Terms
- Workspace - Your organization's dedicated environment within Helios, where all members, files, gigs, catalogs, and platform activity are housed under one account.
- Workspace Name - The visible name of your organization as displayed across the platform. Maximum 32 characters.
- Workspace Logo - The image representing your organization, displayed in the sidebar and on your public-facing business profile.
- Owner - The user role with the highest level of administrative access.
Understanding the Settings Layout
Workspace Settings is accessed by clicking your user avatar in the bottom-left corner of the navigation panel and selecting Settings. The settings panel is organized into three sections in the left navigation:
- Business — Workspace, Manage Members, Setup Payments, Platform Invoices, Setup Activities.
- User — Manage Account.
- Documentation — Terms & Conditions, Privacy Policy.
Settings Available
Workspace
Configure your workspace's visible name and logo, the core identity of your organization on the platform.
Manage Members
Add new team members, remove existing ones, and manage their roles. The Manage Members sub-page displays all workspace members with their name, email, and role (Owner, Admin or Member).
Setup Payments
Connect a Stripe account to your workspace to enable receiving or processing payments for services and gigs.
Platform Invoices
View all invoices generated by the Helios platform for your workspace's transactions and subscriptions.
Setup Activities
Manage the activity status columns that appear on the Activities board. Lists all current statuses (To Do, In Progress, Done, Pending, Blocked, Canceled) each with a three-dot menu, and a Create Status button to add custom statuses. The To Do status is marked as Default. This is the status automatically assigned to new activities.
How to Access Workspace Settings
- Click your user avatar (profile photo) in the bottom-left corner of the navigation panel.
- Click Settings in the popup menu.
- In the Settings panel under the Business section, click the relevant sub-page.
How to Update the Workspace Logo
- Navigate to Settings → Workspace.
- Click on the current Logo image displayed in the Logo section.
- Select a logo image file from your device. Recommended format: PNG with a transparent background. Accepted formats: PNG, JPG, JPEG.
- The logo uploads and replaces the existing one.
How to Update the Workspace Name
- Navigate to Settings → Workspace.
- Click in the Name field and update the workspace name. Maximum 32 characters.
- Click Save to apply the change.
Frequently Asked Questions
Who can change the workspace logo and name?
Workspace Settings are managed by all team members.
Will changing the workspace name affect my Business Profile?
The Workspace Name is the internal display name used within the portal interface. Your Business Profile name (visible to other members in the Business Listings directory) is managed separately in the Business Profile page.
Troubleshooting
My logo upload is not saving.
Check the file size and format. Very large files may fail to upload. Resize the image to under 2 MB and try again.
The workspace name is not updating after I click Save.
Refresh the page and check if the change was applied. Ensure the name is within 32 characters and does not contain unsupported special characters.
Tips for Getting the Most Out of Workspace Settings
- Use Setup Activities to customize your workflow statuses. If your team uses different terminology (for example, Under Review instead of Pending), you can create matching custom statuses.
- The Default status badge on To Do means every new activity starts there automatically. Use the Make Default button if you want other statuses to be the default.
- Keep Manage Members up to date. Removing members who have left prevents them from viewing or editing workspace content.
